Church Secretary

Accountable to: The Board of Elders and the Pastor(s)

Purpose: To serve the church by providing a warm welcome to callers and visitors and by providing secretarial support to the pastor(s).

Primary Duties and Responsibilities:

  1. Receive incoming calls, answer questions, and provide information whenever possible. Β Take complete and accurate messages and route calls to the appropriate staff members.
  2. Greet and offer assistance to members and visitors.
  3. Sort and distribute incoming mail.
  4. Assist the pastors in preparing weekly bulletins and Power Point slides for worship.
  5. Proofread written materials generated by the pastor(s) as requested (e.g. bulletins, articles, and letters).
  6. Maintain hospital list, keeping appropriate staff informed.
  7. Maintain schedule and arrangements for special services such as baptisms, confirmation, weddings, and funerals.
  8. Maintain inventory of officer supplies and order when needed.
  9. Maintain an accurate up-to-date database of church members including:
    1. mailing information
    2. date of birth, baptism, confirmation, marriage, and membership
    3. attendance
    4. communion
    5. skills, gifts, abilities, and interests of members
  10. Ensure that office files are up-to-date and well organized.
  11. Seal, stamp, sort, and post outgoing mail.
  12. Provide weekly list of first-time visitors to appropriate staff members for follow-up.
  13. Provide quarterly list of membership changes to Board of Elders.
  14. Produce special membership, attendance, and contribution reports as requested.
  15. Help produce annual church directory.
  16. Cooperate with pastor(s) by performing any other duties when asked to do so.

Desired Skills: computer navigation; skill with Microsoft Excel, Word, and Power Point; good communication skills; willingness to learn new tasks; desire to be in a Christian work environment

Employment Details: part-time (20 hours/week); $15/hour; immediate start
